This Privacy Policy describes how Teton Asset Group LLC (“we,” “us,” or “our”) collects, uses, and protects information when you use Relocation HQ (“the Service”). By using the Service, you agree to the practices described in this policy.

1. Information We Collect

We collect information you provide directly when you create an account or use the Service:

• Account information — your name, email address, and a hashed version of your password
• Property data — property names, addresses, notes, scores, lease terms, and other evaluation data you enter
• Contact data — names, phone numbers, email addresses, and notes for the contacts you add
• Activity data — notes and logs of communications, tours, and tasks you record
• Photos — images you upload for properties or buildings
• Building data — infrastructure scores, amenities, and notes you contribute to shared building records

We do not collect payment information, precise location data, or any data from third-party sources.

2. How We Use Your Information

We use the information we collect solely to provide and improve the Service:

• To authenticate your account and maintain your session
• To store and display your property evaluations, contacts, and activities
• To make your building contributions available to other users on the same platform (see Section 3)
• To allow administrators to manage accounts and respond to support needs

We do not use your data for advertising, profiling, or any purpose unrelated to providing the Service.

3. Shared Data — Buildings

Relocation HQ includes a shared building database. Information you enter about buildings — including infrastructure scores, amenities, notes, and photos — is visible to all other users on the same platform. This is a core feature of the Service, designed to reduce duplicated research effort.

Your personal property data, contacts, activities, scores, and notes are private and are never shared with other users.

4. Data Storage and Security

Your data is stored on servers operated by or on behalf of Teton Asset Group LLC. We implement reasonable technical and organizational measures to protect your data against unauthorized access, loss, or disclosure, including:

• HTTPS encryption for all data in transit
• Password hashing (bcrypt) — we never store your password in readable form
• CSRF token protection on all data-modifying requests
• File-system access controls to prevent cross-user data access

No method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to using industry-standard practices.

5. Data Retention

Your data is retained for as long as your account is active. If you or an administrator deletes your account, your private data (properties, contacts, activities, photos) is removed. Building contributions you made may be retained as part of the shared building record, as they represent factual information about physical structures used by other users.

You may export a complete backup of your private data at any time via Settings → Data Management → Export JSON Backup.

6. Data Sharing with Third Parties

We do not sell, rent, or share your personal information with third parties for their own purposes. We may share data only in the following limited circumstances:

• Service providers — hosting, infrastructure, and technical vendors who process data on our behalf and are bound by confidentiality obligations
• Legal requirements — if required by applicable law, court order, or governmental authority
• Business transfers — in connection with a merger, acquisition, or sale of assets, with notice provided to affected users

7. Administrator Access

Designated administrators within your platform instance can view account information (name, email, role, account status) and manage invite codes. Administrators do not have access to your private property data, contacts, activities, or notes unless you explicitly share them.

8. Your Rights

You have the right to:

• Access — export your data at any time via the Settings page
• Correction — update your name, email, or password through your account settings
• Deletion — request account deletion by contacting your administrator or us directly
• Portability — your exported JSON backup contains all your private data in a machine-readable format

9. Cookies and Local Storage

The Service uses a session cookie to maintain your login state. This cookie is essential for the Service to function and is not used for tracking or advertising. We do not use third-party cookies or analytics trackers.

10. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we will take steps to delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via the Service or by email. Continued use of the Service after changes take effect constitutes your acceptance of the updated policy. The effective date at the top of this page reflects the most recent revision.
